How do I handle communication with buyers and agents professionally?

How you communicate throughout your FSBO transaction will affect your outcomes more than most sellers expect. Buyers and their agents form impressions quickly, of your professionalism, your reasonableness, and whether you're someone they want to do a deal with. Those impressions shape whether they pursue your home, how they present their offer, and how they behave in post-inspection negotiations.

Respond promptly, but not instantly. When a buyer or agent contacts you about a showing, information about the property, or an offer, a same-day response is professional and keeps momentum. An instant response to every inquiry, though, can signal over-eagerness or anxiety about selling, neither of which you want to project. A few hours is fine. More than 24 hours for anything showing-related starts to lose buyers who are actively seeing multiple homes and making decisions quickly.

Written communication creates a record. Whenever possible, confirm verbal conversations in writing via email or text. This isn't about distrust. It's about clarity. "Following up on our call today, you mentioned the offer was firm at $395,000 with a 30-day close. Is that correct?" creates a clear record that protects both parties. Verbal commitments have a way of being remembered differently by each side.

Be professional with buyers' agents even though they're on the other side. Start every interaction as if it's a professional working relationship rather than an adversarial one. You'll get better results and more information when people feel they're being dealt with fairly. An agent who likes working with you will be more motivated to help their buyer get to the finish line.

Don't answer questions you shouldn't answer. "How long have you been on the market?" You can answer honestly. "What's the lowest you'd take?" You're not obligated to answer, and you shouldn't. Every dollar you reveal about your floor becomes the starting point for a negotiation, not the ending point. A professional response: "We're confident in our pricing, but we're open to reviewing any serious offer." That's not evasive. It's how experienced sellers handle this question.

The Communication Scripts Pack in the JoeFSBO toolkit gives you specific language for the most common situations: responding to lowball offers, handling requests you're not comfortable with, managing aggressive negotiators, and staying professional throughout the transaction. Having that language ready before you need it means you're not composing responses under pressure.

The tone you set in your communications sets the tone for the entire transaction. Professional, direct, and responsive earns you more goodwill than sellers realize.
